The scope of your service

What your service can include

The final scope is agreed for your premises. These are the areas we can discuss when shaping your service. Select an area below to explore what can be included.

Planned attention while your property is unoccupied.

Scheduled property visits

An agreed visit frequency and checklist based on the property, access arrangements and the owner’s priorities. Frequency and access are agreed around the property and the owner's priorities, subject to confirmed service availability.

Cleaning and presentation upkeep

Planned cleaning of agreed accessible areas to help maintain a cared-for environment between uses. Tasks and presentation expectations are defined in advance, with work beyond the agreed checklist considered separately.

Visible-condition reporting

Recording and communicating visible issues noticed within the agreed visit scope, with a clear route for follow-up. The reporting scope sets out what will be observed and communicated; visits do not replace specialist inspection or security provision.

Coordination of agreed actions

Keeping the nominated contact informed and agreeing responsibility for any further work required. Repairs and specialist attendance are arranged separately. Responsibilities and approvals are established before any additional work is instructed, including separate contractor or repair costs.

Access and contact arrangements

Agree who authorises access, holds keys and receives updates. The proposed arrangements include named contacts for matters outside the visit scope, with service availability confirmed before a programme is accepted.

Discuss your requirements

A clear plan. Accountable delivery.

Define the property’s needs

We discuss its use, vacancy period, access arrangements and the issues you want visits to cover. This gives the discussion a practical starting point, focused on the priorities that matter to your organisation.

Set the visit and reporting plan

We agree the checklist, frequency, reporting route and escalation contacts before confirming delivery. The proposed specification makes responsibilities and exclusions clear, with any additional requirements confirmed separately.

Review as circumstances change

The plan can be reviewed when occupancy, condition or the owner’s priorities change. Communication and next steps are agreed with your nominated contact, providing clarity around the proposed arrangement.

When arranging access for visits and upkeep, HSE’s guide to managing contractors provides background on coordination.

Is this service available now?

Yes. Vacant property upkeep is available by arrangement. Contact us to agree your visit requirements, reporting needs and a quotation.

Does this replace security or an insurance inspection?

No. Routine upkeep visits are not a security patrol, professional building survey or assurance that insurance conditions have been met. Any specific requirements need separate confirmation.

Are repairs included?

Repairs, statutory inspections and specialist works are not automatically included. The visit scope and responsibility for further action are agreed in advance.

How often would visits take place?

Frequency would be agreed around the property, vacancy period and your priorities. This service does not imply a standard inspection frequency or fulfilment of insurance conditions.

How would findings be shared?

The proposed arrangement would define the visit checklist, reporting format and named recipients. Matters beyond the agreed scope would be referred through the contact arrangements established with you.

What information is needed for an enquiry?

Share the property type, location, expected vacancy period and tasks required. We would review access and availability before confirming whether an appropriate service can be arranged.
